Details from 2025 CSC (last year's conference) as a reference:

Hello WONDERful Exhibitors!

Amy and I are so excited to greet each and every one of you Nov 7th starting at 7:30 am!

Please find details and important information below:

Location, Unloading, Check-in:

The Conference will be at CSU Spur in Denver. Please enter 4777 National Western Drive into your GPS. (Detailed driving

directions linked here.) You are able to check-in and start setting up at 7:30 am, Friday the 7th. When you arrive, please first go to the check-in registration table located in the Hydro building directly beyond the front entrance doors. This is where you will receive your lanyard with your badge. One person may check in additional exhibit registrants for their table, however we ask that if you do check-in more than yourself, that you let whomever else is attending know where to pick up their own lanyard and badge. After checking in, you may move your vehicle to the most convenient loading zone to unload your items so that you may have easier access to where your exhibit table is located. After unloading, please park in the Parking Lot north of the Vida Building labeled "P" on the map. While there isn’t a time limit indicated on any of the Loading Zone signs, we do ask that everyone does their best to unload their items in a timely manner so that all exhibitors have availability to this convenience as much as possible.

For anyone who has door prizes to drop-off, please bring them to the check-in registration table by 10 am where we will be proudly displaying them for all participants to see. (note: for security, this table will be staffed at all times.)

Exhibitor Equipment Provided:

Each exhibitor will have one 6 foot table and 2 chairs. You will need to provide your own linens. Free wireless is available, however, it is a public network.  Electricity will be available in some areas but limited.  If your exhibit requires electricity you will need to provide your own power strips/extension cords. If you haven’t yet indicated your need for electricity, please contact Amy Hill/Kristina Stem so that we can do our best to accommodate this need.

Each exhibitor will also be provided with a unique QR for attendees to scan when they visit your table. This QR will direct attendees to a short form that will serve several purposes:

  1. Entitle attendees to enter their name for additional door prize tickets.

  2. Give attendees an opportunity to vote for the Educator’s Choice Award for Most Inspiring Exhibitor.

  3. Be a way for exhibitors to track participation at their tables and reconnect with attendees after the conference.

This year, we’re celebrating exhibitors who bring our theme — Moments of Wonder: Finding Joy in Science — to life!  Attendees will have the chance to vote for the Educator’s Choice Award by answering one quick question:

How much did this exhibitor reflect the theme “Moments of Wonder: Finding Joy in Science”?

 1 – N/A  | 2 – Slightly | 3 – Moderately | 4 – Strongly | 5 – Completely

The award will go to the exhibitor who best sparks curiosity and helps educators rediscover the joy of science in their classrooms. We will announce the winner at our Joy in Science Awards Celebration at the end of the day, on our CSC website and on social media.

Exhibitor Location:

Please find your “Booth” location* and a detailed map of CSU-Spur in the. This will help you locate the most convenient loading zone and all the other facility essentials. Additionally, you can find your location here. (*Please note, locations are subject to move as we finalize the map to fulfill accommodations and late exhibitors. While we don’t anticipate big changes, your exhibit space might change.) We also recommend that you download the Sched App to use the day of the conference. It also has a detailed map, and all other information pertinent to the conference.

Facility Rules/Restrictions:

Now, here are the vital pieces of information. The CSU-Spur facilities are amazing, and as a conference we want to make sure that we, and all of our partners in this endeavor, follow what CSU-Spur has asked of us. Please find the following list of expectations for exhibitors and presenters.

  • Exhibits or activations may be assembled without power tools. Sawing, hammering, and other fabrication activities must occur outside.

  • Doorways, hallways, corridors, staircases, and fire exits cannot be locked, blocked, or obstructed. Educational exhibit and program areas should not be obstructed during operating hours unless approval has been arranged.

  • Lightbulbs or lighting may not be placed where the heat from the bulbs might create a fire hazard. Special effects equipment, such as smoke machines, are not allowed.

  • The use of any material that might damage building surfaces is prohibited.

  • Glitter, confetti, or similar materials are not allowed.

  • Balloons are only allowed without helium; all balloons must be secured within the facility.

  • Potted plants or small trees are only allowed with approval and protective coverings.

Clean Up/Tear Down:

There will be approximately one hour to clean up/tear down your table. After the conference, you will be able to move vehicles back to the loading/unloading areas in front of the buildings.

Sponsorships and Donations:

We are still seeking sponsors as well as door prizes to further spoil our amazing Colorado science educators.  If you would like to sponsor or if you would like to donate prizes of any kind (swag/kits/products/training/pd/field trip, etc.) for our door prize raffle, we would love to showcase you as a supporter of science/STEM in Colorado! You can find out more about CSC Sponsorships at ColoradoCAST.org/CSC-Sponsors or contact Amy or Kristina!
